Asset Inventory

What is it?

This is the inventory of all assets belonging to the University's departments and units. Everything acquired to serve the university's purposes, including furniture, equipment, materials, tools, which are permanent, that is, durable, is considered a heritage item. Being considered a heritage item means receiving an institutional heritage number, the PI, and being registered in the university's control system for monitoring throughout its useful life until disposal. The symbol of all heritage items is the “heritage plaque”, which can be a small metal plate with the asset's registration number or, for more recent items, the equivalent of a plaque, a metal seal with the registration number printed on it, the PI or heritage item.

Whats the matter?

The assets constitute the University's assets, together with buildings, laboratories and various constructions. As public assets, they must be used for their intended purpose, preserved and employed within the legislation that governs the matter, which our commitment as citizens demands, and even more so, as public servants, obliges! The control of these assets is carried out periodically by all Unicamp units and audited by the State Audit Court. That is why it is necessary to list what is registered in the system and check, item by item, where it is, if it has changed location (for example: furniture), if it is still in usable condition or can be discarded, etc.

Why participate?

As civil servants, teachers and staff, we are all responsible for controlling and making good use of the assets at our disposal to carry out our daily tasks. The amount of assets accumulated in the units over the years is very large and without everyone's collaboration it is impossible to check all the materials. There are currently more than 8.000 items at the FE! The Heritage Area carries out the survey but has difficulty accessing assets stored in cabinets, drawers, etc. 

How to collaborate?

The Heritage Department will send the list of registered assets to each FE area and organize the process for receiving the information. You can help identify the assets and retrieve information about the change of location of missing assets (this is very important!). Changes in location between assets must always be formally reported to the Heritage Department. This is even more so if the asset needs to be used outside the University campus! In this case, it is mandatory to use a Term of Authorization for Use, available on the FE website.
