Responsibilities of the FE Sectoral Archive – ASFE
The Sectoral Archive must, as a general objective:
- Know the functional structure and hierarchical relationships of the bodies to which it is subordinate;
- Maintain a record and control of the Management or Current Files of the bodies and their respective collections;
- Guide or coordinate the execution of programs, guidelines and standards issued by the Central Archive (SIARQ).
As specific objectives, the Archive must:
- Classify and catalog, forwarding for analysis, treatment and preventive preservation all documentation generated and received by FE bodies in the performance of their functions and activities, working on the history and memory of the Faculty;
- Participate in the document evaluation and allocation process, carrying out the necessary disposals and transferring the documentation in accordance with the Temporality Table to the Central Archive, in accordance with established allocation plans;
- Attend to and control queries and loans of documents that are in your custody;
- Ensure the storage and conservation conditions of the documentary collection produced and accumulated, while they are in their custody;
- Guide and coordinate the execution of programs, guidelines and standards issued by the Central Archive;
- Reference memory documents and make them available for research, providing feedback to the academic and administrative community;
- Create mechanisms by acquiring equipment and implementing a computerized system for rapid access to information for consulting and borrowing these documents, processing all data to support research;
- Create research instruments enabling the search for information through catalogs, selective catalogs, guides, text editing, indexes, databases, control instruments and topographic records;
- Retrieve archival information for management and research;
- Open space to receive other documentary funds of interest to FE as sources of research in the educational sphere;
- Act as a process facilitator, with responsibilities shared with all sectors of the unit;
- Preserve documentary heritage;
Manage work processes aimed at registration, protocol, archiving, standardization and access to documents and information generated in compliance with the Unit's duties.
